Every step of our medical collection process is built around three frameworks:

HIPAA. We follow strict protocols for handling protected health information. Our teams undergo ongoing HIPAA training and operate under a Business Associate Agreement with every healthcare client. Patient data is secured, access is controlled, and disclosures are limited to what the law allows.

FDCPA. We follow all applicable federal and state consumer protection laws on patient-facing collection activity: fair communication, accurate debt disclosure, dispute handling, and validation procedures.

FCRA. Reporting to credit agencies is done accurately and only for eligible accounts. Disputes are handled through the correct process.

We maintain detailed records of all communications and transactions. If a patient disputes a balance, we have the documentation to resolve it cleanly.

Our Medical Debt Collection Process

No upfront fees. No confusing contracts. We collect, then you pay us a percentage of what we recover.

  1. Account submission. Provide the patient name, balance, date of service, last known contact information, and any insurance explanation of benefits. We can begin outreach within 24 hours.
  2. HIPAA-compliant verification. We verify the accuracy of the debt before contacting anyone. Patients receive only legally required disclosures. Our handling of protected health information follows the ACA’s HIPAA Implementation Guide. We operate as a HIPAA Business Associate and sign a BAA with every healthcare client before handling any PHI.
  3. Patient contact. We reach out professionally and respectfully. Our agents are trained specifically in healthcare collections, including insurance appeal processes and patient hardship circumstances. We explain the debt clearly, confirm the original amount, and present payment options.
  4. Payment plan structure. Patients who can’t pay in full get a workable option. Structured plans increase resolution rates without requiring patients to choose between medical debt and other necessities.
