HVAC COLLECTIONS

HVAC Collections

Heating and cooling work does not stop when a homeowner says they will pay later. HVAC contractors carry real costs: equipment, refrigerant, labor hours, and service calls that happen in the worst weather of the year. When those invoices go unpaid, Southwest Recovery Services steps in. We collect both residential and commercial HVAC debt, and we do it in a way that protects the contractor relationships that keep your service calls coming back. We do not collect consumer debt in California, Oregon, or Washington.

Why Unpaid Accounts Cost You More Over Time

Cash Flow Pressure Is Real in This Industry

The HVAC industry is growing fast. Competition is tight, margins are thinner than they look, and no single company holds more than a small slice of the market. That makes unpaid invoices hurt more, not less. When a homeowner goes silent after a full system install or a business owner disputes an emergency service call, the clock starts ticking. Recovery rates decline the longer an account sits. We move quickly on new placements so you do not lose ground while the balance ages.

Residential Recovery Done Right

We Recover Residential Accounts Without Burning Bridges

Most HVAC contractors depend on word of mouth and repeat service. A homeowner who needed an AC replacement this summer might need a furnace tune-up in October. Aggressive collection tactics can cost you that next call. Our residential recovery process follows FDCPA and CFPB Regulation F, which means debtors receive proper written validation notices, their dispute rights are honored, and every contact stays within the law. Firm, compliant, and professional throughout. That is how we recover the balance and keep your name out of bad reviews.

How We Handle Commercial Accounts

Commercial HVAC Debt Gets a Business-Focused Approach

Property managers, general contractors, and facility operators are a different conversation. Commercial HVAC accounts involve contracts, scope-of-work documentation, and business entities that are fully capable of paying when pushed the right way. We work those accounts as commercial collections, not consumer debt. Our agents contact decision-makers directly, document every step, and keep steady pressure on past-due balances without the formality of the consumer framework where it does not apply.

Keep Your Team on the Work That Matters

Your Staff Should Not Be Chasing Invoices

HVAC technicians are not collectors. Your office staff is not a collections department. When you ask your team to chase down a homeowner who stopped answering texts, you pull them away from scheduling, dispatch, and service quality. We take that off your plate entirely. Account follow-up, dispute handling, payment negotiation, and documentation are our job. You send us the account, we work it, and you focus on the next service call.

No Upfront Cost, No Guesswork

Contingency Pricing Means No Risk to Try Us

We work on contingency. That means you pay nothing upfront and nothing if we do not collect. Our fee is a percentage of what we recover, agreed in advance. There are no retainers, no monthly minimums, and no hidden charges. For an HVAC business already watching margins carefully, that structure matters. You keep your cash, we absorb the collection work, and you only share revenue when there is revenue to share.

Frequently Asked

Questions About HVAC Debt Collections? Ask Us

Yes. We recover debt from homeowners who did not pay for equipment, installation, or repair work, and from commercial accounts like property managers or contractors with unpaid service invoices. Residential consumer accounts are handled under FDCPA and CFPB Regulation F. Commercial accounts are worked as business-to-business collections.

We collect consumer debt in most states. We do not collect consumer debt in California, Oregon, or Washington. If a significant portion of your residential customers are in those states, contact us and we can talk through what your options look like.

That concern is one of the main reasons HVAC contractors come to us instead of trying to collect in-house. We take a firm but professional approach. For consumer accounts, we follow the FDCPA, which requires respectful communication and full honoring of dispute rights. We recover the balance without the hostility that costs you future service calls.

You pay nothing until we collect. Our fee is a percentage of what we recover, disclosed clearly before we place any account. If we do not collect on an account, that account costs you nothing. It is a straightforward arrangement with no hidden fees.

Earlier is better. Recovery rates fall as balances age and debtors become harder to reach. We recommend placing accounts within 90 to 120 days of the original due date, though we do work older balances as well. If your in-house follow-up has stalled after two or three attempts, that is a good time to hand it off to us.

At minimum we need the debtor’s name, address, contact information, and the amount owed with the original service date. Any supporting documentation helps, including signed service agreements, invoices, or written estimates the customer approved. Strong documentation shortens the resolution time.
