How Southwest Recovery Services Works

HOW IT WORKS

What Is Debt Collection and How Does It Work?

Most business owners know what debt collection is. The part that trips them up is how it actually works and what it costs to hand accounts over to an outside agency.

Here is the short version: a collection agency contacts your delinquent customers on your behalf and recovers what they owe. Southwest Recovery works on a contingency basis. No collection, no fee. You pay nothing unless we recover your money.

There are two modes of collection, and Southwest Recovery handles both:

  • First-party collections. We act as an extension of your team, using your business name, reaching out early before accounts go past due. Customers often do not know they are talking to an outside agency.
  • Third-party collections. After your internal efforts have run their course, you hand the account to us. We pursue recovery independently, in full compliance with the FDCPA. This covers Accounts Receivable Management, commercial B2B invoices, and consumer debt.

Whether you need early-stage intervention or post-charge-off recovery, the process starts the same way: you submit the account, we take it from there.

OUR PROCESS

The Southwest Recovery Services Process

When you send accounts to us, here is what happens.

  1. Account submission. You submit placements through the client portal at www.swrsportal.com. New clients: the client training videos walk you through the submission process in under 10 minutes.
  2. Review and assignment. Our team reviews each account: debt type, age, balance, debtor location. Accounts go to collectors with specific experience in your industry.
  3. Contact and recovery attempt. We reach out through calls, letters, and electronic contact, following FDCPA and Regulation F requirements on every account. Professional, documented, compliant.
  4. Skip tracing. If a debtor is unreachable (disconnected phone, moved address), we run skip tracing and asset location to find current contact information before escalating.
  5. Payment arrangement or legal referral. Most accounts resolve through a payment plan or lump-sum settlement. If a debtor refuses and the balance warrants it, we refer for legal action. That is the last step, not the first.
  6. Reporting and fee collection. You get real-time account status in the portal. When we recover, you receive your funds minus our contingency fee. If we do not collect, you owe us nothing.

WHY OUTSOURCE

Why Use a Collection Agency?

Chasing your own invoices is expensive. Your team spends hours on calls that go nowhere, letters that do not get opened, and follow-ups that strain client relationships. The older the debt gets, the lower your odds of recovering it in-house.

An external collection agency changes that math. Here is why businesses use one:

  • Time. Your staff gets back to work that generates revenue. Collections is our full-time job, not a distraction from yours.
  • Expertise. We know what works at 30 days, at 90 days, at 180 days. Different age bands require different approaches. We have been running those plays since 2004.
  • Compliance. FDCPA violations can cost more than the debt itself. Our collectors follow federal and state law on every account. The risk stays with us, not you.
  • The contingency model. Southwest Recovery earns a fee only when we collect. If we do not recover your money, you owe us nothing. No retainer, no monthly bill, no upfront cost to engage us.

Southwest Recovery Services operates across 12 offices in Texas, Oklahoma, Missouri, Ohio, Florida, Georgia, and Colorado, working with businesses from solo medical practices to enterprise-level commercial creditors.

Frequently Asked

Frequently Asked Questions

Southwest Recovery receives your account, reviews it, and assigns it to a collector with experience in your industry. We begin FDCPA-compliant contact: calls, written notices, and electronic outreach. If the debtor is unreachable, we run skip tracing. See how our collections process works for the full step-by-step. When the debtor pays, you receive your funds minus our contingency fee. If we do not collect, you owe nothing.

No upfront fees. Southwest Recovery operates on a contingency basis. We collect a fee only when we recover on your account. Fees typically range from 18% to 45% depending on account age, debt type, and portfolio size. Older or harder-to-recover accounts carry higher rates. No retainers, no monthly minimums, no cost to engage. Request a quote for an exact percentage based on your portfolio.

Southwest Recovery works commercial and consumer accounts across multiple debt types: commercial B2B, consumer receivables, medical and healthcare balances, property management debt, oil and gas receivables, automotive finance, insurance subrogation, and government receivables. If your business is owed money, contact us and we will tell you if we are the right fit.

Debtors with verified contact information typically resolve within 30 to 90 days. Older accounts, skip-traced accounts, and disputed balances take longer. We do not promise a timeline because every portfolio is different. We work every account until it resolves or we have exhausted available options.

First-party collections: Southwest Recovery acts as your team, using your business name, reaching out early before accounts charge off. Customers often do not know they are dealing with an outside agency.

Third-party collections: Accounts have been internally exhausted. Southwest Recovery takes them over under our own name and pursues recovery independently, in full FDCPA compliance.

Southwest Recovery handles both. Which approach fits depends on where your accounts are in the delinquency lifecycle.

Handled correctly, no — or minimally. For first-party work, we use your brand voice and the client relationship is preserved. For third-party, the relationship is already strained. The question is whether you recover the balance or absorb the loss. Our approach is professional and FDCPA-compliant: firm, documented, and not abusive.
